What this is for#
Your account can do everything: see the money, change the menu, edit the website, read every report. That is fine while you are the only one using it. It stops being fine the first time your bookkeeper needs the statements, or your nephew is running your Instagram.
Team members solve that. Each person gets their own login on dinevate.com, sees only what you allow, and every change they make is recorded under their name. Nobody shares your password, and you can remove anyone in one click.
Team members are not tablet staff#
Two different things in Dinevate both look like "adding a user":
- Settings → Team & Users gives someone a login for the dashboard on dinevate.com. That is this guide.
- Ordering Settings → Employees gives someone a login for the tablet, the Dinevate Order Manager app. That is the Staff Logins and Permissions guide.
A team member cannot sign in to the tablet, and a tablet employee cannot sign in to the dashboard. If someone needs both, add them in both places.
Add a team member#
- Sign in to dinevate.com.
- Open Settings → Team & Users.
- Click Add Team Member.
- Fill in their name, email and phone.
- Set a temporary password, at least 8 characters. Send it to them yourself, and tell them to change it after their first sign in.
- Pick a role. The role fills in a set of permissions for you.
- Adjust individual permissions if you want. Changing any of them switches the role to Custom, which is normal.
- If you run more than one location, choose which ones they cover. See below.
- Click Save.
They can sign in immediately with the email and password you set.
What each role can do#
The four roles are starting points, not cages. Every one of them can be adjusted.
Manager. Dashboard, insights, feedback, disputes, ordering settings, menus, restaurant settings, catering, events, reservations and jobs. The person who runs the place while you are not there.
Accountant. Dashboard, payouts, tax, statements and disputes. The money, read only. Nothing they can change.
Marketing. Dashboard, insights, feedback, website settings and social media. Your pages and your posts, not your money.
Custom. Nothing to begin with. You tick exactly what you want.
The permissions themselves are these:
See things: dashboard, payouts, tax, statements, insights, feedback, disputes.
Change things: website settings, ordering settings, menus, restaurant settings, catering, events, reservations, jobs, social media.
Manage the team: lets that person add and remove other team members. Give it carefully. It is the one permission that lets someone hand out permissions.
A page a person has no permission for does not appear in their menu, and typing its address does not open it either.
Choosing locations#
If your account has one location, there is nothing to choose and Dinevate assigns the person to it.
If you run several, the dialog lists them all with a checkbox each. Two shortcuts sit above the list: Select all puts the person on every location, and This one only narrows them to the location you are currently in.
Each row shows the street and the city under the name, because sibling locations usually share a name. Six locations all called "Benedict's" are six identical rows without it. The location you are looking at right now is marked You are here.
What the choice actually does: a team member sees only the locations you ticked. Their location switcher shows those and nothing else, and every page for any other location is closed to them, even by direct link.
You can change the list at any time from Edit.
You can only give what you have#
Someone with Manage the team can add colleagues, but never above themselves. If your bookkeeper cannot see payouts, they cannot create a user who can. Dinevate refuses the save and names the permissions that went too far.
Only the account owner can share a location with an outside business, whatever permissions a team member holds.
Share a location with another business#
Team members belong to your account. Sometimes the other party is not on your account at all: a franchise partner who bought one of your locations, a brand office that still needs the numbers, a consultant who runs your menus from their own Dinevate account.
For that there is a second list on the same page, Other businesses.
- Open Settings → Team & Users on the location you want to share.
- Under Other businesses, click Share this location.
- Enter the email of their Dinevate account. They need an account of their own first. If the email belongs to nobody, Dinevate tells you.
- Give the relationship a label if you like, such as "Brand office". Both sides see it.
- Tick what they may do.
- Set an end date if this is temporary. Leave it empty to keep it open ended.
- Click Send invitation.
They get an email, and the invitation waits at the top of their own dashboard until they accept or decline. Nothing is shared until they accept. That step is deliberate: it proves the email belongs to the business you think it does.
Once accepted, that location appears in their location switcher next to their own restaurants, with the permissions you gave and nothing more.
Four rules worth knowing:
- Seeing the location's dashboard always comes with it. You cannot share a location that the other side cannot open.
- Managing the team can never be shared. An outside business cannot add users to your location, whatever you tick. The door stays yours.
- Only the owning account can share. A team member of yours, even one who manages the team, cannot open your location to another business.
- Either side can end it. You remove their access with Remove. They can walk away themselves with Leave. It takes effect immediately.
Their own account, their own locations, their own payouts and their own customers stay entirely separate. Sharing a location shares that location, nothing else.
Everyday tasks#
Change what someone can do. Team & Users, Edit next to their name, adjust, save. It takes effect on their next page load.
Reset a password. Reset next to their name, type a new temporary password, send it to them.
Remove someone. Remove next to their name. Their login is deleted and they cannot sign in again. Do this the day someone leaves.
See who did what. The activity history at the bottom of the page lists recent changes with the name of whoever made them. Someone who is scoped to one location sees only that location's history.
Troubleshooting#
They sign in and see almost nothing. They have no permissions, or none for this location. Open Edit and check both the permission list and the location list.
They cannot open a page you expected them to. Pages follow permissions exactly. "I gave them Manager" is not enough if the page needs a permission Manager does not include.
"You cannot grant permissions you do not have." Whoever is doing the adding does not hold what they are trying to hand out. Do it from the owner account.
The invited business says they see nothing. They have not accepted yet, or they accepted on a different account than the one you invited. Check the email address on the invitation.
Someone left and you forgot to remove them. Remove them now, then reset your own password if they ever knew it.
Questions#
How many team members can I add? As many as you need. Tablet employees are limited to 5 per location; dashboard team members are not.
Do team members cost anything? No.
Can one person work for two different restaurants on Dinevate? Yes. Their access is worked out per location, so being on two accounts does not mix the two.
Can a team member see my other locations? Only the ones you ticked.
Can I give someone read only access to the money? Yes. That is what Accountant is: the money pages, nothing to change.
We sold one of our locations. Is this how I hand it over? No. Sharing gives access, not ownership. A sale changes the legal owner, the bank account and the agreement, so contact us and we will run the handover with both sides.
